We’re seeking a Receptionist / Administrative Assistant to provide exceptional service to visitors and employees while supporting daily office operations. Key Responsibilities

  • Greet and assist visitors, vendors, and clients with a warm, professional attitude.
  • Answer and direct incoming calls, route messages, and ensure all inquiries reach the appropriate personnel.
  • Handle incoming and outgoing mail, deliveries, and shipping needs.
  • Keep the reception and common areas clean, organized, and welcoming.
  • Assist with meeting scheduling, conference room coordination, and preparation of materials.
  • Support various administrative tasks such as data entry, filing, scanning, and maintaining documents.
  • Monitor and maintain office and breakroom supply inventory; process orders as needed.
  • Coordinate visitor sign-in procedures and uphold office security protocols.
  • Provide support for office events and special projects as assigned.
  • Maintain filing systems and support year-end file retention activities.

Qualifications

  • High school diploma or equivalent required; additional administrative coursework preferred.
  • 5+ years of experience in a receptionist, administrative, or customer service role.
  • Professional demeanor with excellent verbal and written communication skills.
  • Highly organized, detail-oriented, and comfortable managing multiple priorities.
  • Proficient with Microsoft Office (Word, Excel, Outlook) and general office equipment.
  • Dependable, punctual, and able to handle sensitive information with confidentiality.
