Salary: $60,000-$65,000
Location: Ottawa (In-Office 4 days/week / Hybrid 1 day/week)

About the Role
Our client is seeking a detail-oriented and resourceful Administrative / Office Assistant to support daily office operations and assist with travel logistics for their team. This role is ideal for someone who enjoys organization, multitasking, and delivering exceptional internal service. The successful candidate will be professional, proactive, and comfortable working in a fast-paced environment.
Key Responsibilities
Administrative Support

Provide day-to-day administrative support to management and team members

Prepare, edit, and format letters, reports, presentations, and internal documents

Maintain organized digital filing systems

Answer and direct calls, monitor general email inboxes, and greet visitors

Coordinate office supplies, equipment, service requests, and vendor interactions

Support meeting logistics, events, and special projects as required
Office & Travel Coordination

Arrange domestic and international travel for employees, including flights, accommodations, ground transportation, and itineraries as needed

Ensure travel bookings align with organizational policies, budgets, and approval processes

Prepare and distribute travel itineraries and confirmation packages

Track travel bookings, cancellations, and changes

Provide support with travel-related inquiries before and during trips

Maintain relationships with travel vendors and service providers
Qualifications
Required
-
1–3 years of experience in administrative or office support, travel coordination, or a related role

Strong proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint)

Excellent organizational, interpersonal, and communication skills

Ability to manage multiple priorities and meet deadlines

Exceptional attention to detail and accuracy

Professionalism, discretion, and ability to maintain confidentiality

Strong problem-solving skills and ability to work independently
Assets (Nice to Have)

Bilingualism (English/French) – considered an asset

Experience booking travel or working with travel management tools
