Job Description

The Accounts Payable Specialist will be responsible for processing the Accounts Payable invoices and expense reports.

The ideal candidate is an enthusiastic, customer-focused, and results-oriented problem-solver who is detail-oriented with a general understanding of accounting processes.

Primary responsibilities will include:

  • Maintain the AP invoices and expenses report flow and tracking.
  • Input high volume daily supplier invoices from PDF electronic or paper copy.
  • Reconcile supplier statements to ensure timely processing of invoices within our standard terms.
  • Communicate and follow-up with both internal and external customers regarding discrepant invoices.
  • Audit expense reports for accuracy and adherence to policy guidelines.
  • Monitor and ensure that approval processes are followed.
  • Monitor and ensure that FAC standard terms are followed and ensure a paper copy is completed, if different.
  • Provide support to other Accounts Payable Specialists with routine and special AP and audit procedures.

Ideal candidate will have the following experience and education:

  • High School Diploma or equivalent; or equivalent relevant experience.
  • Minimum one year of accounts payable and basic accounting principles experience.
  • Experience processing accounting documentation and inputting large volumes of data (invoices) daily.
  • General typing, 10-key input ability, and PC experience (MS Office/Excel) desirable.

Additional Responsibilities:

  • Open, sorting and distribution of the departmental mail when required.
  • Other duties as assigned.

Preferred Qualifications:

  • Associate’s Degree in Accounting, or related degree.
  • Experience with Oracle is a plus.
  • Knowledge of the financial computer system Accounts Payable experience.

  • Proven high level of competency in Windows, MS Office including Word, PowerPoint, Excel and other web-based applications.

Physical & Mental Requirements:

  • Position involves desk work 85% of the time which includes sitting and working on a computer for most of the time.
  • Good visual acuity, hearing, and speaking is required.
  • Demonstrated willingness and ability to multi-task, to learn new tasks, remember processes, maintain focus, complete tasks independently, make timely decisions in the context of a workflow, ability to complete tasks in situations that have a speed or productivity quota.
  • Willing to work overtime when required to meet special/critical deadlines.
