OVERALL OBJECTIVE OF THIS POSITION:

Supports the Chief Financial Officer in completing basic bookkeeping, clerical and accounting and collaboration with other team members to execute various accounting tasks including building and assessing financial reports, managing the payroll processes, maintaining accurate data/records, nurturing positive relationships with suppliers and ensuring the clubs’ obligations are met.

PRIMARY RESPONSIBILITIES:

  • Receive and validate daily receipts (cash, wire and cheque) in local and foreign currency
  • Prepare Statutory payments – quarterly.
  • Maintain Fixed Assets Register, vendor ledger.
  • Reconciliation of general ledger.
  • Prepare a sales order and sales invoices
  • Timely update of the cash application template with daily local and foreign receipts
  • To ensure Bank Reconciliation queries are resolved before the end of reporting month.
  • Maintains historical records by microfilming and filing documents.
  • Disburses petty cash by recording entry and verifying documentation.
  • Protects organization’s value by keeping information confidential.
  • Accomplishes accounting and organization mission by completing related results as needed.

Other Duties and Responsibilities

  • Maintain Fixed Asset Register
  1. Maintain worksheet of fixed assets purchased, detailing purchase date, supplier, serial number, warranty period and location/department asset are held.
  2. Maintain a depreciation worksheet, detailing classification of asset, rate used, method of calculation and estimated useful life.
  3. Posting depreciation to general ledger.
  • Maintain Prepayment and Accrual Schedules
    1. Maintain worksheet of prepaid/accrued items, detailing date of expense, date of payment, period of prepayment/accrual and expiration of prepayment/accrual.
    2. Computation of monthly prorated prepaid/accrual expenses.
    3. Posting prepayments/accruals to general ledger.
    4. Accurate recording of deferred Revenue.
  • Preparation of Bank Reconciliations
  1. Confirm brought forward balances agree with closing balances from previous period.
  2. Review all uncleared cheques older that six months and deposit items older than one month.
  3. Call suppliers to inform of uncleared cheque status.
  4. Call bank to query undeposited credits.
  5. Maintain log of all queries actions taken.
  6. Post bank charges and interest to the appropriate account.
  • Preparation of Bank Deposits
  1. Confirm all cash received are deposited and on time.
  2. Confirm all cheque received are signed.
  3. Confirm all cheques have the proper company’s name, cheque date is current, and that words and figures agree.
  4. Ensure numerical accuracy of deposits.
  5. Confirm deposit books figures match figures on Peachtree system
  6. Print system deposit report and attach with bank deposit
  • Preparation of Cheque Payment Voucher
  1. Each payment cycles an aged payables report should be printed and payments prioritize, taking into account the due date and monies available.
  2. All disbursements must be signed and approved by the CFO.
  3. A valid purchase invoice must be received from the supplier/vender before a cheque payment voucher can be prepared.
  4. All approved cheque payment vouchers should be accompanied by the purchase invoice and the purchase order.
  5. All cheque payment vouchers should clearly state the payee’s name, amounts to be paid and invoices being paid.
  6. If an invoice is being paid in part, a copy of the purchase invoice should be kept in the “bills to be paid” folder until the entire amount is cleared. Proper referencing should be made on all corresponding vouchers.
  7. All paid purchase invoices should be filed in an IXL folder in cheque numerical sequence.
  • Approve Credit Notes
  1. Query reasons for credit/refund.
  2. Sign off on all credit notes.

QUALIFICATIONS AND EXPERIENCE REQUIRED

  • ACCA Level 3, or equivalent required.
  • 5 CXC passes (Accounts, Maths, English).
  • Previous accounts payable experience preferred.
  • Knowledge MOS Office, data entry.
  • Knowledge financial software a plus, Peachtree, Micropay.
  • Excellent communication written, verbal and interpersonal skills.
  • Meticulous attention to detail and accuracy.
  • Problem solving and Leadership skills.
