Role Overview

The Account Coordinator sits at the intersection of inside sales support, customer coordination, and field liaison work. This is not a purely administrative role — it was specifically created to fill the gap between data-entry-level CSR work and full Account Manager responsibility.

You'll be the go-to point of contact for field personnel and junior petroleum/operations engineers at key operator accounts. You'll manage order lifecycles, coordinate scheduling and inventory, build relationships on the ground, and grow into customer-facing sales conversations — with a clear path toward Account Manager.

You'll report directly to a Senior Account Manager and will be expected in the Midland office Monday through Friday — and out in the field when it counts.

What You'll Do

Order & Account Management

  • Receive, enter, and manage customer orders through internal systems and the job board.
  • Own the full order lifecycle — from creation and scheduling coordination through delivery and documentation.
  • Proactively monitor open orders and address delivery risks before they become problems.
  • Track invoice submission, approval, and payment status; assist with ticket and signature collection.
  • Coordinate A/R and A/P basics — primarily ensuring field tickets are signed by the appropriate company man.

Customer & Field Support

  • Build and maintain relationships with field personnel and junior engineers at operator accounts.
  • Field calls, respond to inquiries, provide quotes, and process orders with urgency and accuracy.
  • Get out to the field — drop off lunch, build rapport, be a trusted point of contact. This is expected, not optional.
  • Coordinate with field services and operations to meet customer requirements on scheduling and inventory.

Sales Support & Development

  • Support the sales team with reporting, market data, and administrative backup.
  • Participate in quarterly internal presentations — a structured training program designed to develop your sales skills in a low-risk, high-feedback environment.
  • Use HubSpot CRM to track leads, customer activity, and sales initiatives.
  • Develop deep product knowledge so you can speak confidently with field contacts and junior engineers.
  • Contribute to improvements in customer success processes, tools, and workflows.

What We're Looking For

The hiring manager is explicit: personality and work ethic come first. If you have the right attitude and hunger, the technical skills can be trained. Both of the team's current top Account Coordinators came from outside oil and gas.

Required

  • High energy, positive, assertive, and genuinely service-oriented — this is non-negotiable.
  • Strong communicator: confident on the phone, professional in writing, and able to hold your own in conversation with engineers and field personnel.
  • Highly organized with the ability to juggle volume — you'll be managing multiple orders, contacts, and timelines simultaneously.
  • Ability to work independently, take initiative, and solve problems without being micromanaged.
  • Proficiency in Microsoft Office and comfort learning new software (HubSpot CRM — the team is relatively new to it).
  • Must be located in or willing to relocate to Midland, TX — on-site, Monday through Friday.

Preferred (But Not Dealbreakers)

  • 1–5 years in a sales support, inside sales, or order coordination role — recent grads with relevant internship experience will be considered.
  • Some exposure to oil and gas — but not required. What matters is the ability to learn a technical product line and talk to people in the industry.
  • Experience with A/R or A/P coordination at a basic level (tracking tickets, following up on approvals).
  • Bachelor's degree preferred; demonstrated commitment and work ethic weigh equally.

What Success Looks Like

0–30 Days

Get trained up. Learn the products, the systems, and the key contacts. Show up, be present, ask smart questions.

30–90 Days

Own your order queue. Start making field visits independently — set up lunches, drop off breakfast, build the relationships.

90–180 Days

Demonstrate you can manage volume without dropping the ball. Start presenting internally. Build rapport with junior engineers.

Year 1+

You're a trusted point of contact for field and engineering personnel. You're ready to grow into an Account Manager role — and so are the engineers you've been building relationships with.
