MULTI-STATE ACCOUNTS RECEIVABLE SPECIALIST

Position Summary

The Multi-State Accounts Receivable Specialist is responsible for managing and collecting outstanding receivables across multiple states while ensuring compliance with varying state regulations, tax requirements, and company policies. This role works closely with customers, sales teams, and internal accounting to maintain accurate records, resolve discrepancies, and support overall cash flow objectives.

Key Responsibilities

• Manage full-cycle accounts receivable for customers operating across multiple states
• Post payments, reconcile customer accounts, and maintain accurate AR aging reports
• Monitor and follow up on past-due accounts to ensure timely collections
• Research and resolve billing discrepancies, short payments, and disputes
• Coordinate with sales, customer service, and operations to resolve customer account issues
• Maintain customer credit files and assist with credit reviews and credit limit monitoring
• Ensure compliance with state-specific tax rules, lien laws, and regulatory requirements when applicable
• Process adjustments, credits, and write-offs with proper documentation and approvals
• Prepare and distribute customer statements and collection correspondence
• Support month-end close processes, including AR reporting and reconciliations
• Assist with audits by providing documentation and account support
• Maintain detailed collection notes and customer communication records
