Job Title: Manager Operations and Member Services

Job Summary: Responsible for the Society’s general operations, marketing of services, member relations services and in particular the supervision of branches and other aspects of the Society’s operations. Overall responsibility for the branch offices and its operations and staff, supervision of Recoveries Officers, Records Clerks and Loans and Business Development Officers.

DUTIES AND RESPONSIBILITIES

  • Oversight on expediting members’ queries.
  • Oversight of the administration of CUNA Insurance Claims (FIP & LP/LS); and ensuring the timely payment of premiums to said CUNA for those accounts on which loan balances exceed the insurance coverage through the said CUNA.
  • Maintain the branches treasury management system by ensuring treasury minimum re-order balances are maintained to fulfill the branch demands.
  • Ensures daily cash reconciliations are performed with regards to Treasury for all branches.
  • Responsible for the securing of the Society’s cash.
  • Oversight on the operations and transaction processing of all electronic services i.e. Online Banking, Mobile Banking and Debit Card.
  • Ensure that the department is adequately staffed to perform daily duties.
  • Responsible for the Credit Union’s daily operations at the Head Office and branches and reconciling of the General Ledger Control Account.
  • Oversight on members’ deductions to ensure accuracy and timely submission.
  • Oversight on all death claim processing
  • Oversight on the accurate and timely submission of all insurance remittances.
  • Oversight of the payrolls for accuracy and timely updates of wages on the Emortelle system.
  • Managing the risk management strategies by providing oversight on the Society’s risk rating factors and the monthly IFRS 9 provisioning reports.
  • Oversight and Implementing Control Systems necessary for the proper operation of the Credit Union in conjunction with the General Manager.
  • Ensures all cheques are banked daily and preparation of deposits for lodging with the bank.
  • Oversight on monthly TransUnion Report submissions.
  • Vetting Instruments of Charge before being sent to Attorneys for registration.
  • Oversight on the Securities Register which records all existing Instruments of Charge.
  • Liaising with members on all requests for resignations, liquidations and share withdrawals with the objective of both retaining and soliciting business from the membership to deter their actions of exiting the Society or terminating their contractual arrangement. This collection of information from members must be done before submission to the General Manager, with a target of less than five (5) resignations, liquidations and share withdrawals monthly.
  • Reviews and approves cash loans before payment is made eg. OOPS, EZ-UP and Consumer Loans (loans within shares) within the Society’s approved policies and procedures, paying attention to the Society’s approved signing authority, which may updated from time to time.
  • Ensuring that all the Society’s loan securities are maintained and secured at all times.
  • Verification of requested information from employers on members’ separation.
  • Act in accordance to the Society’s Cheque Signatory policy.
  • Determine, recommend and develop where necessary the training needs, development and deployment of staff.
  • Execute objective for improved customer service and ensure that high performance standards are maintained.
  • Execute semi-annual performance assessment on subordinate staff in May and November each year.
  • Institute disciplinary procedures where necessary to ensure compliance with the Society’s Disciplinary procedures on a timely basis.
  • Assist the General Manager in the preparation of the monthly Statutory Report for submission to the Board of Directors.
  • Assist in the development of marketing initiatives.
  • Any other related duties assigned by General Manager.
QUALIFICATIONS

  • Bachelor Degree in Management/ Accounting
  • Minimum of five years experience in a supervisory capacity;
  • Working experience in a Credit Union will be an asset
  • Knowledge of Emortelle will be an asset
  • Knowledge of IFRS 9 will be an asset
  • An MBA will be considered an asset
